1. Who we are
Kairos is a vocabulary-learning app provided by Gareon Systems Limited. This policy covers the Kairos app and the support and data-request forms published with it. You can contact Gareon about privacy through the Kairos support form.
2. Information Kairos handles
The information handled depends on the features you use. Local learning data is stored on your device. When you use a signed-in account, saved words and learning progress are also stored in your cloud library.
- Account details: account identifier, email address and profile information you provide, plus information supplied by your chosen sign-in provider.
- Learning content: saved words and phrases, source sentences, reading context, learning exercises, responses, progress, review history and preferences.
- Feature inputs: text submitted for learning, images selected for scanning, and transcripts produced by speech capture.
- App and device activity: screen visits, learning and review events, app/device properties, and technical metrics used to understand operation and usage.
- Support requests: your contact email, optional name and device details, message, and information needed to verify and handle a data request.
3. How information is used
Kairos uses this information to provide sign-in, save and synchronize your vocabulary, generate contextual learning material, schedule practice, support reminders, handle requests, protect the service from misuse and understand how the app is used. AI-request usage records help enforce the app’s usage limits.
4. AI, dictionaries and speech capture
Text and context submitted for AI features, and images you choose to scan, are sent to Kairos’s AI service for analysis. The service can use OpenAI and/or Google Gemini depending on the feature and provider configuration. Their processing is separate from local-only learning data. Avoid submitting confidential or sensitive information that is not needed for your learning.
Dictionary lookups can send the word being looked up to a dictionary provider. The app shows dictionary source and license information where available, and labels AI-generated definitions and examples separately.
Speech capture uses your device or browser’s speech-recognition service. Audio processing depends on that platform’s service. The resulting transcript can be edited before you submit it for learning.
5. Service providers and analytics
Kairos uses Supabase for account services, cloud learning data and server functions. AI providers process submitted learning inputs. Where purchase features are enabled, the app store and RevenueCat process purchase and entitlement information. Support messages are handled by Gareon’s configured email service and receiving mailbox.
Kairos uses PostHog for screen and product-activity analytics. Signed-in activity can include your account identifier; demo or signed-out activity can use an anonymous analytics identifier. App/device properties and a limited set of structural event details are included.
The app’s PostHog integration excludes notes, reading passages, answers, transcripts, images, email addresses, names and free-form AI feedback from event properties. Session replay and automatic exception/console capture are disabled. These analytics exclusions do not mean that content deliberately submitted for AI learning stays on your device.
Service providers may process information in countries other than your own. The current PostHog integration uses its US cloud service.
6. Permissions and local storage
Camera access is used when you choose to capture or scan a page. Microphone and speech-recognition access are used for speech capture. Notification access is used for reminders when you enable them. You can change these permissions through your device or browser settings; affected features may then be unavailable.
Kairos stores learning data, preferences, pending synchronization work and authentication-related state on your device. Support forms in the app and on the website email your submissions to Gareon and use temporary request counters to limit spam. App support requests can include technical details, a screenshot you select, and an AI answer you explicitly choose to share. Support requests include a reference number. Do not include passwords or sign-in codes.
7. Retention and deletion
Cloud account and learning records are kept to provide your account and library until they are deleted. Account deletion removes the account-linked cloud learning records, preferences and associated records covered by the app’s deletion flow. Deleting in the app also clears that device’s local account data and reminders.
Shared dictionary content and anonymous aggregate analytics are not removed when an individual account is deleted. Previously ingested PostHog events are not automatically removed by the current account-deletion flow. If you want removal of provider-held analytics, include that in your privacy or deletion request so Gareon can review it separately.
Support correspondence, service-provider logs and backups may have separate retention periods. Contact Gareon to ask about the records and retention periods that apply to your request. Local copies on other devices may remain until their app data is cleared.
8. Your choices and requests
You can manage learning goals and reminders in the app, change device permissions, export currently loaded learning data from Profile, and request account deletion in the app or through the Kairos deletion page.
You can also contact Gareon to request access, correction or deletion of information about you, or ask a privacy question. Gareon may need to verify account ownership before disclosing or removing account data. Rights and the handling of a request may depend on the law that applies to you.
9. Updates and contact
Changes to this policy will be published at this URL with an updated date. For a question about Kairos data handling, use the privacy topic in the support form.
